Plain answer

We score each tool from 0 to 10 on seven criteria, weight them, and compute the total in code. Every score comes from desk research on public vendor pages fetched in September 2026. We did not test the products.

What do we score, and how much does each criterion weigh?

Weights sum to 100. The total is the weighted average: each score times its weight, summed, divided by 100. We show totals to two decimals and sort by the exact value.

Why is this ranking weighted toward governance?

This site is for teams that manage SOPs over time, not only for people who need one guide today. The expensive failures in SOP programmes happen after the first draft: an outdated version stays in use, nobody approved a change, or an auditor asks who trained on revision 4. So version control and approvals, audit trail and training carry 45% of the weight. Capture speed still carries 20% because an SOP that takes a week to write does not get written.

What does each score level mean?

For pricing transparency: 9 means every paid plan below the custom tier has a published price, including the plan most teams need; 8 means paid plans are published but some cost drivers are unclear (billing options, member allowances) or a custom tier holds features many teams need; 2 means plans are listed without prices; 1 means no prices and an extra fee, or no plan detail.

Where does the evidence come from?

Vendor websites, pricing pages and product pages, fetched on 27 September 2026. Each fact on the site links to its source with the date fetched. Where a vendor does not publish a fact, we say "Not published" and score what is published. Vendor statements about customers, user counts or results appear only in labelled VENDOR STATES boxes and are not verified by us. The regulations we cite (FDA 21 CFR 11.10 and 21 CFR 211.100) link to the eCFR.

What are the limitations?

  • Public sources only. We did not run trials, interview vendors or survey customers.
  • Not based on using the products. A feature described on a vendor page may work differently in practice, and a feature a vendor does not describe may still exist.
  • Plans change. Prices and plan contents were correct on the pages we fetched in September 2026; check the vendor page before you buy.
  • Scores reflect this site's weights. A team that only needs fast capture would rank the tools differently.
  • Nine tools, not the whole market. Guidde was considered and not scored (see the rankings page).

How often is this updated, and how are corrections handled?

We re-check every price and headline feature each quarter and record the date on each page. Vendors and readers can send corrections to editors@bestsopsoftware.com. We verify against the vendor's public page and correct within ten days.

Did you test these tools?

No. This is built from vendor pricing, help-centre and product pages, evaluated September 2026. We say so on every page.

Why does Haiku not rank first?

Because the method weights version control, approvals, audit trail and training, and Haiku's public pages show less there than Whale or SweetProcess. The scores are computed from the published weights.

Can a vendor pay to change its score?

No. A vendor can send a correction with a public source, and we update the data if the source supports it.
